Why IT projects often frustrate small organizations
Small businesses and non-profits in Canada are usually pushed toward two poor choices. Either they rent rigid monthly software that charges per user and still leaves staff copying data into spreadsheets, or they hire separate web, CRM and IT contractors who point fingers when connections break. Worse, if you ever want to switch providers, you discover the vendor controls the master passwords and your records are locked inside their platform.
Three practical steps: Understand, Build, Support
At ROTES Smart Solutions Inc., one team looks after your whole stack—CRM, websites, workflow automation, private AI, servers and security. Every project follows three clear stages.
1. Understand
We start with a focused assessment of how work moves through your organization today. You receive a short, plain-language written plan and quote outlining what we will build, how your existing data will move, and any third-party fees (such as Microsoft 365, domain registrars or payment processors) that you pay directly.
2. Build
We install your system on your own office server or a Canadian cloud account opened in your name. We migrate your existing records, connect the tools you want to keep, configure security and nightly backups, and walk your team through day-to-day use. Most standard builds take days to about 2 weeks.
3. Support (Optional)
Once we hand over your system, you have full administrative control. If you prefer to have our team handle software updates, backup checks, monitoring, fixes and small changes within hours agreed in advance, we offer ongoing support.
What’s included in your hand-over checklist
- Admin accounts in your name: Every cloud account, server login and domain is registered to your organization.
- Data migration: Existing contacts, spreadsheets, mailboxes and website content moved into your new setup.
- Written hand-over notes: Clear documentation of how your system is built and configured.
- Complete account directory: A master list of every service and credential, and where it lives.
- Backups switched on and checked: Automated nightly backups verified with restore testing.
- Live team walk-through: Practical orientation so your staff can use the system right away.
Proof: Fast delivery without cutting corners
- RosterPay (rosterpay.ca): We built our own sports-club registration and payment web app from specification to live card and club-credit payments in a single working session.
- Our own office and home: Every backup routine, server monitor, password vault and automation tool is tested in our own Fredericton operations before we deploy it for a client.
Frequently asked questions
What happens if we stop working together?
Your systems, data and administrative access stay with you. Because we build on open standards and give you written hand-over notes, any qualified technician can step in and maintain your setup.
Can our existing data be moved?
In most cases, yes. Contacts, spreadsheets, website pages and email archives can be migrated. We check your files during Step 1 so there are no surprises.
Are there software licence fees?
We use open-source software where it does the job, so there are no per-user licence fees from us. Third-party services like Microsoft 365 or payment processors charge their own standard fees, which are listed in your written plan.
Do you work outside New Brunswick?
Yes. We work on site in Fredericton and across New Brunswick, and remotely with small businesses and non-profits across Canada.
