PWorkflow Automation for Managers & Department Leads

Take repetitive reporting, approvals and follow-ups off your shoulders

If you manage a department, coordinate projects, or run operations inside a company, a large part of your week disappears into invisible glue work: combining five spreadsheets into a Monday report, chasing approvals in email threads, retyping PDFs into trackers, and answering the same procedural questions over and over.

Most IT firms sell to companies. We also work with the person who actually carries the routine: the office manager, the coordinator, the in-house bookkeeper, the HR lead, the head of sales or operations in a company of 10 to 200 people. Your IT department has no time for "your spreadsheets". Corporate Copilot is either not bought or not allowed. We fill that gap, one bottleneck at a time.

Start here: a 90-minute Personal Automation Audit

We sit down with you (in person in Fredericton or on a call) and map where your week actually goes. You leave with:

  • a one-page map of your recurring routines and how long each one really takes;
  • three quick wins ranked by time saved, with the tools you already have;
  • a written plan and a fixed price for anything worth building.

Cost: a flat fee for one person or for a whole department, quoted before we start. The audit fee is credited against any package you order within 60 days.

Ten routines we take off your plate

Each package has a fixed scope, a fixed price quoted in writing before we start, and a one-page handover note. Typical delivery is one to three weeks. Ask for the current package sheet and we will send it the same day.

Inbox Triage Assistant

The problem: Your inbox dictates your day. Urgent requests sit under newsletters and CC chains. What we build: Rules plus an optional private AI step that sort incoming mail in Outlook or Gmail, summarize long threads, pull out dates and amounts, and prepare draft replies in your queue. You always review and press send.

Monday Report Bot

The problem: Every Friday or Monday you export CSVs from three to five systems, paste rows across Excel tabs, check formulas and format a summary for leadership. What we build: A scheduled pipeline that pulls from your CRM, Sheets, accounting and website, reconciles totals, flags anomalies and delivers a clean Excel, PDF or Teams/Slack message on time, every week.

Meeting notes → tasks → CRM

The problem: After meetings the decisions live in someone’s notebook and the tasks slip. What we build: Recording or transcript goes in; a summary, decisions and owner-assigned tasks come out in Planner, your task board or your CRM. Where privacy matters, transcription runs locally on your own hardware.

PDF & Excel Cleaner

The problem: Hours a week retyping supplier invoices, quotes, delivery slips and certificates into spreadsheets, then hunting for duplicates. What we build: A repeatable flow that extracts the fields you need from PDFs, normalizes messy Excel exports, catches duplicates and hands you a review table with anything doubtful highlighted.

Department knowledge assistant

The problem: Colleagues and new hires ask the same questions about procedures, price lists and contract clauses every week. What we build: A private, permission-aware search over your department’s approved documents that answers strictly from them and cites the exact page. It runs on company hardware or on a Canadian-hosted server, never on a public AI service.

Department request desk

The problem: Requests arrive by email, chat and hallway. Nobody knows what is waiting for approval or who has the ball. What we build: One intake form, a register, automatic routing, one-click approvals, status updates to the requester and polite reminders before deadlines slip. Works for vacation requests, purchasing, IT tickets or client requests.

Quote & proposal generator

The problem: Every proposal starts from last month’s file with the wrong client name still in it. What we build: Templates fed from your CRM or a short form, producing a branded PDF in five minutes, sending it and reminding you when it has gone quiet.

Work bot in Teams or Telegram

The problem: Stock levels, project statuses, expense receipts and team reminders live in six places. What we build: A chat bot your team already has open that answers “how many left of X”, logs a receipt from a photo, posts status changes and nudges the right person.

Personal Automation Audit

Described above; the fee is credited against any build.

Half-day training: “AI without leaks”

The problem: Your team already pastes client data into free chatbots, or is forbidden from using AI at all and loses the benefit. What we deliver: A half-day session for your department: what may and may not go into cloud AI tools, how to work with a local model, and prompt templates written for your actual tasks. Leaves you with a one-page policy your manager can sign.

Certificate, permit & vendor compliance chaser (COI / WorkSafeNB)

The problem: You track subcontractor insurance certificates (COIs), WorkSafeNB clearances, staff certifications or permits in an Excel sheet—and only notice a lapse when an auditor or site manager asks. What we build: A register with passwordless upload links for vendors or staff, OCR extraction of expiry dates, and automated polite reminders at 30, 14 and 7 days before anything expires.

Broken spreadsheet, VBA macro & legacy workflow rescue

The problem: Your department relies on a fragile Excel macro or a tangled Zapier/Make/Power Automate flow built by someone who left two years ago, and nobody dares touch it. What we build: We audit the logic, rebuild it as a clean, documented workflow or lightweight web tool, and leave you a one-page handover guide so you are never locked out again.

Timesheet & field-ticket reconciliation

The problem: Every pay period you manually compare field tickets, job logs or timesheets against customer invoices and payroll rows to catch missing billable hours. What we build: An automated check that matches hours and job tickets across exports, flags discrepancies in seconds, and prepares a clean exception table for your review.

The rule we work by: within your employer’s permissions

  • We never move data out of company systems without written permission from the person who owns them.
  • If your company forbids external AI, we run a local model on company hardware, or we tell you plainly that the task is not for us.
  • Two modes, your choice:
    • Standalone tools for your role: scripts, templates and flows that work with the exports you are already allowed to make. No connection to restricted systems.
    • Official integration: when we connect to Microsoft 365 (Outlook, SharePoint, Teams), Google Workspace or internal databases, we work transparently with your manager or IT administrator with the smallest access needed, and we leave them the documentation.

What we do not sell here: ways around corporate policy, “an AI employee instead of you”, or anything that needs your clients’ data to leave the company.

Who pays, and how

Many of these packages fit inside a department’s discretionary budget and need no tender. Others are bought by the person themselves to get their evenings back. Either way you get a written scope, a fixed price and an invoice from a registered New Brunswick company. If your employer later wants the same for other departments, see For your business →.

Optional Care Plan after handover: we keep the flows running, update connectors when Microsoft or Google change something, and answer your questions. A flat monthly fee per department, quoted with the package.
