The problem with public AI tools
Your team wants faster ways to search internal manuals, summarize past files and draft routine documents. However, pasting client contracts, financial statements, medical records or defence-related specifications into public AI websites creates serious privacy risks.
Public AI services store prompts on outside servers, give you no control over which employees can access which folders, and can invent inaccurate answers when they are not grounded in verified source files.
Local LLM deployment and private knowledge bases
ROTES Smart Solutions builds private AI for business in Canada. Whether you want an AI knowledge base for a law firm, an accounting office or an engineering team, we deploy open-source AI tools on your own hardware or a Canadian cloud account opened in your name.
Using Ollama, Open WebUI, AnythingLLM and Qdrant, we set up a private knowledge base (RAG) so your staff can chat directly with your organization’s documents. Local models run on your own server—with optional GPU hardware—so sensitive files never leave your premises. When you want staff to use external models for approved tasks, we place a LiteLLM gateway in front to enforce your rules.
We also build task-specific AI agents paired with deterministic validators, and run a personal English/Ukrainian voice assistant in our own office. We do not offer a call-centre phone answering agent; a telephone voice agent is available only on request.
What’s included
- Private chat interface connected to your internal documents and team knowledge base (RAG)
- Local LLM deployment on your hardware (GPU optional) or Canadian cloud using Ollama, Open WebUI, AnythingLLM and Qdrant
- Access control rules so team members only search documents they are permitted to see
- LiteLLM gateway configuration to govern or block connections to external AI models
- Custom AI agents for routine research and staging, paired with deterministic validation checks
- Administrator accounts in your name, written hand-over notes and a live team walk-through
Proof: tested on our own systems first
- On-premises GPU AI stack: We run our own local GPU AI servers in New Brunswick with a strict private mode that operates with zero external network connections for sensitive data.
- grants.roik.pro AI validation pipeline: Built an AI agent for our education-grants catalogue that stages candidate grant entries while a deterministic validator checks official sources before anything is published.
- Personal bilingual voice assistant (EN/UA): Built and run our own personal assistant—combining a phone wake word, speech-to-text, workflow automation, conversational memory across turns and spoken replies in Ukrainian using ElevenLabs with local Piper fallback (an internal personal assistant, not a phone call-centre agent).
Frequently asked questions
Can AI run without sending any data to OpenAI or Google?
Yes. With a local LLM deployment on your own server, models run entirely on your machine with zero external connections.
How is our data protected when staff use the knowledge base?
Your documents stay on your server or Canadian cloud region, sign-in is protected with access controls, and external models are either blocked completely or restricted through a LiteLLM gateway under rules you approve.
How do you prevent AI from inventing false information?
We connect the assistant directly to your document library so responses are grounded in your files, and for automated agents like grants.roik.pro, we pair AI staging with a deterministic validator that checks official sources.
Do you offer an AI voice agent to answer customer phone calls?
No. The voice system we run today is a personal English/Ukrainian assistant for our own team. Any telephone voice agent is strictly on request / in development.
